Job Summary:Indicate why the job exists and the overall function or job purpose.

The Executive Assistant supports an individual executive or small number of executives in their day-to-day office activities. Provides high-level administrative support by conducting research, preparing reports, handling information requests and performing administrative functions, including preparing correspondence and emails, interacting with executives, management, internal and external clients, arranging conference calls, scheduling meetings, and planning and coordinating events. May also train and supervise lower-level clerical staff. Exercises discretion, confidentiality, a good understanding of technical and business vocabulary and a detailed knowledge of the organization's operations, procedures and people.

Detailed Description:List the primary duties and responsibilities required to perform this job in order of importance; typically 4 to 6 key responsibilities.

· Manages and maintains executives schedules and calendars.

· Prepares invoices for approval, reports, emails, and other documents.

· Prepares and formats PowerPoint presentations.

· Functions as point of contact between executives and internal and external clients.

· May perform human resources duties such as onboarding for new hires.

· Opens, sorts, and distributes incoming correspondence, including emails.

· Files and retrieves documents, records and reports.

· Greets visitors to determine whether they should be given access to specific individuals.

· Prepares responses to correspondences.

· Performs general office duties including ordering supplies, maintaining record management systems, and performing basic bookkeeping work.

· Prepares agendas and coordinates arrangements for meetings and events.

· Makes travel arrangements for executives
