The Local Project Coordinator is directly involved with the corporate Project Implementation Manager, taking direction from them for all aspects of a project within their warehouse. On smaller projects not requiring a PIM, communication to begin a project may come directly to the LPC from Project Services or a PDM.
The local coordinator participates in project kick off conference calls and any related calls in reference to the projects within their facility. They work directly with the implementation manager, project services, sales and in some instances, the customer.

Responsibilities

  • Order processing, administration & follow-up
  • Ensure the accuracy of system transactions, eg. order entries, order maintenance and billings
  • To generate the open backlog report and update the status on a daily basis from the ERP
  • Liaise with Buyers, Warehouse, freight forwarders to ensure timely delivery of goods
  • To generate the Stock Transfer Orders on time
  • Shipment tracking and status reports for all import consignments (Inter-co & off-shore orders) from Freight Forwarders
  • To send the DSR (Daily status reports) to Sales

Requirements

  • Creation of special tagging forms and packing lists to meet project requirements
  • Red Tags with special instructions
  • Tracking of hours and lines for the project
  • Inbound material inspection
  • KAVA management for kits and assemblies
  • Breaking down of kits
  • Ordering project supplies both standard and project specific
  • Maintaining carrier relationship for project
  • Managing project employees and the tasks they perform
  • Quality tracking and accuracy of tasks
  • Create and maintain schedule based on customers install requirements
  • Monitor inventory of parts to ensure kits will be built and when
  • Receiving and managing customer owned product
  • Instruct sales as to which orders need maintenance
  • Notify sales as to which orders have shipped
  • Monitor and correct release/delivery dates on sales orders to ensure they match the rollout schedule
  • Verify order memos to make sure instructions are accurate with projects.
  • Communicate to PIM and sales when project SOW changes
  • Ensure that the SOW is followed as outlined in documentation
  • Notify PIM of any scope changes requested at warehouse level

Qualifications

  • Strong attention to detail and follow-up skills a must
  • Reliable, well organized
  • Excellent communication and interpersonal skills a must
  • Adaptable to new software applications and systems
  • Must be able to multi task and work independently in a fast paced, ever changing environment
  • Excellent Computer skills with keyboard competence
  • Working knowledge of MS Office (Word, Excel)
  • Must be a self-starter, self-motivated, articulate, organized, dependable, and prompt
